We want to ensure that all members are well-informed about the various meetings that play a significant role in our Property Owners Association.
Below is an overview of the meetings you should be aware.
- Board Meetings: Our board of directors tend to hold regular monthly meetings to manage the operations of our community. This is not a homeowner meeting, and the purpose is for the board to meet as a whole to discuss and vote on issues for the community. These meetings are public to all members, providing an opportunity to stay informed about ongoing projects and developments within the association. In order to have a board meeting, the board must have a majority of the board members in attendance to meet the quorum requirements. Homeowners will receive at least a 48-hour notice before the board meeting, except in an emergency. How do I receive notice of the POA annual meeting and other meetings?
- Annual Homeowners Meeting: This is a crucial event where homeowners come together only once a year to discuss important matters regarding our community. The Annual Homeowners Meeting is the only member meeting that is required by our bylaws. Topics typically covered in this meeting include board elections. Your active participation in this meeting is highly encouraged, as it allows you to have a direct say in the association’s decisions. Quorum Requirement: To conduct official business during any meeting, a quorum must be met. This means that at least 10% of Members must be in attendance or represented by proxy for an Annual Homeowners Meeting.
- Special Member Meetings: In addition to the Annual Homeowners Meeting, Special Member Meetings may be called by the board or requested by 1/3 of all Members to address specific, urgent issues. These meetings are an important part of our decision-making process and can be convened when necessary. Voting at Special Member Meetings: In the event of a vote during a Special Member Meeting, the decision is based on a majority vote of those attending, unless our governing documents specify a different threshold. Here is a quote from Section 3 of our bylaws: “3.1. Special meetings (meetings other than the Annual Members’ Meeting) of the Members shall be held at any place within the County whenever called by the President or Vice President or by a majority of the Board. A special meeting must be called by such President or Vice President upon receipt of a written request from Members having the right to vote at least one-third (1/3) of the total number of votes entitled to be cast by Members at any such special meeting.” In addition, if there is any voting required at a special members meeting, the voting questions MUST be mailed to all owners at least 14 days in advance of the meeting.
